SyncPenguin's connector for Zoho CRM tasks

Sync your Zoho CRM tasks two-way or one-way with other apps and services

Sales and support teams often manage their follow-ups in Zoho CRM, but they plan their day in Google Tasks, Outlook, or another to-do app. Keeping both up to date by hand leads to missed follow-ups, duplicate work, and tasks that are marked done in one place but still open in another. This connector keeps Zoho CRM tasks and your other task lists in sync automatically. Every task stays current wherever your team works, and completed work is reflected back in the CRM.

How does it work?

The Zoho CRM Tasks connector lets you sync tasks from your Zoho CRM account with the to-do apps and tools your team already uses, such as Google Tasks, Outlook To Do, Microsoft 365, HubSpot, Notion, and Monday.com. Choose one-way or two-way syncing, limit syncing to the tasks of a specific Zoho CRM user, and sync subjects, due dates, descriptions, statuses, priorities, and custom fields. With SyncPenguin's no-code rules, you control which tasks get synced and how. For example, you can sync only high-priority follow-ups or add the related contact's name to the task title.

Popular real-world use cases

  • Two-way sync each sales rep's Zoho CRM tasks with their Google Tasks, so they can check off follow-ups from their phone and the CRM updates automatically.
  • Sync Zoho CRM tasks to Outlook To Do so CRM follow-ups appear next to personal to-dos, with completion status synced both ways.
  • Push open Zoho CRM tasks to Microsoft 365 Tasks for a team that works mainly in Microsoft 365, keeping due dates and descriptions up to date.
  • One-way sync only High and Highest priority Zoho CRM tasks to Google Tasks, so urgent follow-ups are never missed.
  • Sync Zoho CRM tasks to Outlook To Do and use a custom rule to add the related contact or lead name to the task title, for example 'Follow-up call – Jane Smith'.
  • Keep tasks in sync between HubSpot and Zoho CRM when marketing and sales teams use different CRMs, or during a gradual CRM migration.
  • Sync Zoho CRM tasks to a Monday.com board so project and delivery teams can see and act on sales follow-ups.
  • Keep a Notion task database in sync with Zoho CRM tasks, skipping tasks with the 'Deferred' status to keep the workspace focused.
  • Sync Zoho CRM tasks with Exchange On-Premises tasks for organizations that run their own email servers.
  • Two-way sync tasks between Capsule CRM and Zoho CRM for agencies or partners that work with clients on different CRM platforms.

Supported fields

Subject Description Due date Is all day Is completed Status Priority Related contact name Related lead name Related account name Related record type Custom text fields Custom multi-line text fields Custom phone fields Custom email fields Custom website fields Custom picklist fields Custom number fields Custom decimal fields Custom date fields Custom date/time fields Custom checkbox fields

Things to note

  • Recurring tasks are not synced, which prevents duplicates of repeating series. Regular one-time tasks are fully supported.
  • Zoho CRM task due dates are date-only, so any time of day from another app is not stored in Zoho CRM.
  • The related contact, lead, account, and record type are available for filters and rules but cannot be set or changed through syncing.
  • When you start syncing with an initial merge of existing data, only open (not completed) tasks are included. Tasks completed afterwards keep syncing as usual.
  • Tasks without a subject are skipped, because a subject is needed to identify and sync a task properly.
  • When a task is reopened in another app, its Zoho CRM status is set to 'In Progress' by default. You can map a different status with a custom rule.
  • Most common custom field types are supported. Some special field types, such as lookups, multi-select picklists, and formula fields, are not available for syncing yet.
