Many teams use Notion as a lightweight CRM, client list, or team directory. But Notion doesn't connect to your phone, email client, or CRM, so the same contacts end up maintained in several places and quickly get out of date. This connector removes the copy-pasting. Contacts in your Notion database stay up to date with the rest of your tools automatically, without duplicates.

How does it work?

The Notion Contacts connector turns any Notion database into a fully synced contact list. Choose a database, map your name, email and phone columns, and SyncPenguin keeps it automatically in sync with Google Contacts, Outlook, Microsoft 365, HubSpot, iCloud, and many other apps, in one direction or both. Nearly every column in your database can be synced, and no-code filters and rules let you control exactly which contacts and fields are synced and how.

Popular real-world use cases

  • Two-way sync a Notion client database with Google Contacts so every client is available on your Android phone, and changes made on the go are saved back to Notion.
  • Build an always-up-to-date team directory in Notion by syncing one way from the Microsoft 365 Global Address List, including names, emails, and phone numbers.
  • Keep Notion contacts and Outlook contacts in sync both ways, so contacts added in either place are available everywhere.
  • Push only contacts tagged 'Newsletter' in a Notion multi-select column to Mailchimp, so your mailing list always matches your Notion database.
  • Sync HubSpot contacts into a Notion database one way, using a filter to include only customers and mapping HubSpot properties to Notion select and text columns.
  • Sync your Notion contacts database to Apple iCloud Contacts so you can see who's calling on your iPhone and Mac.
  • Distribute a shared Notion contact list to the Microsoft 365 contacts of several team members with a one-to-many sync, so everyone has the same up-to-date contacts.
  • Two-way sync Pipedrive contacts with a Notion database so your sales team and project team work from the same contact details.
  • Sync QuickBooks customers into a Notion client database one way, so project and account teams always have current client contact details.
  • Sync Google Workspace directory users into Notion to keep a company-wide employee directory up to date automatically.

Key features

Any Database

Use your existing Notion database as it is. Just pick the database and choose which columns hold names, emails, and phone numbers.

Two-Way Sync

Changes made in Notion or in the connected app are synced automatically in both directions. You can also set up a one-way sync.

All Your Columns

Sync text, numbers, dates, checkboxes, selects, multi-selects, URLs, emails, phone numbers, and rollups, not just basic contact details.

Smart Name Handling

Use a single Name column or separate first and last name columns. SyncPenguin splits or combines names so they fit the other app.

Multiple Emails & Phones

Map separate columns for work, home, and other emails, and for work, mobile, and other phone numbers.

Affordable & Scalable

With SyncPenguin you only pay for changes to your data, regardless of how many contacts you initially have, or will have in the future.

Supported fields

First name Last name Full name Emails (work, home, other) Phones (work, mobile, other) Title columns Text columns Number columns Date columns Checkbox columns Select columns Multi-select columns URL columns Email columns Phone number columns Rollup columns (read-only, as text)

Things to note

  • Your Notion database needs a 'Last edited time' column. SyncPenguin uses it to detect changes, and you can add one in Notion in a few clicks.
  • Each connection syncs one Notion database. To sync several databases, add a separate connection or sync for each one.
  • The database must be shared with SyncPenguin when you connect your Notion account. Otherwise it won't appear in the list.
  • At least one name column and one email column must be mapped so contacts can be matched reliably.
  • Formula, relation, person, files & media, and status columns can't currently be synced.
  • Rollup columns can be read and synced to other apps as text, but can't be updated from other apps.
  • Text is synced as plain text, so formatting such as bold, links, or mentions isn't carried over.
  • For date columns that contain a date range, only the start date is synced.
  • Up to three emails (work, home, other) and three phone numbers (work, mobile, other) can be synced, each mapped to its own column.
  • Changes are picked up on regular sync intervals rather than instantly.
  • If you only map a single full name column, the first word is used as the first name and the rest as the last name.
