Businesses that sell through online stores or POS systems but manage their books in Xero often end up with two different versions of their stock levels. Updating quantities by hand in each system is slow and error-prone. It leads to overselling, missed sales, and inaccurate inventory values in your accounts. This connector removes that manual work. It keeps Xero tracked inventory and your sales channels in sync and records every change in Xero in an accounting-friendly way.

How does it work?

The Xero Inventory Quantities connector links the tracked inventory in your Xero organization to your online stores and point-of-sale systems. SyncPenguin matches products by SKU (the Xero Item Code), sets the starting stock levels, and then keeps every sale, return, and restock in sync automatically. Stock sold in your Shopify store, at your Square register, or through WooCommerce is reflected in Xero. Stock you receive and record in Xero flows back to your sales channels. Your accounting system and your storefronts always agree on what is actually on the shelf.

Popular real-world use cases

  • Automatically reduce stock in Xero whenever an order is placed in your Shopify store, and push new stock received in Xero back to Shopify.
  • Keep your Square POS stock levels and Xero tracked inventory in sync, so in-store sales are reflected in your accounting system without manual updates.
  • Run a multichannel business with Xero as your central inventory record, syncing quantities with both your Shopify online store and your Square retail shop.
  • Sync WooCommerce product stock with Xero so your website never sells items you no longer have on hand.
  • Connect your BigCommerce store to Xero to keep inventory quantities accurate across your ecommerce and accounting platforms.
  • Keep your Squarespace store's stock levels aligned with Xero, so restocks recorded in Xero automatically appear on your website.
  • Sync stock sold at markets, pop-ups, and events through Zettle with your Xero inventory, keeping your books and stock counts up to date.
  • Sync only a selected group of SKUs between Xero and Shopify, such as a specific product line, while managing other items separately.
  • Share one pool of stock between Shopify, WooCommerce, and Xero, so a sale on any website updates stock everywhere else.

Key features

Stock Level Sync

Keep Xero item quantities on hand in sync with your online stores and POS systems, matched automatically by SKU.

Accounting-Friendly Updates

Stock increases and decreases are recorded in Xero as proper transactions. You can also choose an inventory adjustment account to keep your books balanced.

Smart Change Tracking

SyncPenguin detects stock changes since the last sync and applies only the adjustments, so sales from several channels never overwrite each other.

SKU Filtering

Choose exactly which SKUs should be synced and leave the rest of your Xero items untouched.

Multi-Organization Ready

Connect securely to Xero and pick the organization whose inventory you want to sync, with built-in checks that confirm the connection is healthy.

Affordable & Scalable

With SyncPenguin you only pay for actual changes to your inventory quantities, regardless of how many products you initially have, or will have in the future.

Things to note

  • Only Xero items with inventory tracking turned on are synced. Make sure 'Track inventory' is enabled for the items you want to include.
  • Products are matched by SKU, so each Xero Item Code must be unique and must match the SKU used in your other sales channels.
  • The connector syncs stock quantities only. It does not create, rename, or delete products in Xero, so items need to exist in Xero first.
  • Because Xero records tracked inventory through transactions, stock increases are recorded as bills and stock decreases as supplier credit notes under an 'Inventory Adjustments (SyncPenguin)' contact. To keep your books balanced, select an inventory adjustment account in the connector settings.
  • Each item should have a purchase price set in Xero, because that price is used to value the stock adjustments.
  • Quantities are synced as whole units.
  • Changes are picked up during regular sync checks rather than instantly. Very large catalogs may take a little longer to process, because SyncPenguin respects Xero's API request limits.
  • Each connection syncs one Xero organization. To sync several organizations, add a separate connection for each one.
