SyncPenguin's connector for Outlook contacts

Sync your Outlook contacts two-way or one-way with other apps and services

Free 14-day trial with full support and no credit card

Contacts end up scattered across Outlook, phones, CRMs, and colleagues' address books. Updating them by hand takes time, causes mistakes, and creates duplicates. SyncPenguin connects your Outlook contacts to your other tools so a change made in one place appears everywhere else. You don't need to export and import CSV files or retype phone numbers. You decide which contacts are shared and how their details are mapped.

How does it work?

The Outlook Contacts connector lets SyncPenguin keep your Outlook address book in sync with the other apps you use every day. You can sync one-way or two-way with Google Contacts, iCloud, Microsoft 365, CRMs, accounting tools, and more. Choose a specific contact folder, or limit syncing to contacts with a selected category. You can also adjust how each field is mapped without writing code. After setup, new contacts, updates, and deletions are synced automatically, so your contacts stay current everywhere.

Popular real-world use cases

  • Copy your company's Microsoft 365 global address list into Outlook contacts, so coworkers' names and phone numbers appear on your phone and in your personal address book.
  • Keep Outlook contacts and Google Contacts in two-way sync, so contacts saved on your Android phone or Gmail also appear in Outlook.
  • Sync Outlook contacts with Apple iCloud Contacts, so your iPhone and Mac address book matches Outlook without manual exports.
  • Connect a personal Outlook address book to a Microsoft 365 work mailbox, and sync only contacts with a 'Work' category between them.
  • Share a dedicated Outlook contact folder between team members' Outlook accounts, so everyone works from the same up-to-date client list.
  • Push HubSpot contacts into a 'HubSpot' folder in Outlook, filtered by lifecycle stage or owner, so your sales team has customer details on their phones.
  • Sync Pipedrive or Zoho CRM contacts two-way with Outlook, so updates made in your inbox are saved back to the CRM.
  • Send Outlook contacts that have a 'Newsletter' category to a Mailchimp audience, so new subscribers are added automatically.
  • Bring QuickBooks or Xero customers into Outlook, so you can see who is calling and email clients without leaving your inbox.
  • Move or mirror contacts from an Exchange on-premises mailbox to Outlook during a migration, keeping both address books in sync until the switch is complete.

Things to note

  • Outlook stores up to 3 email addresses per contact, so only the first 3 emails are synced into Outlook.
  • Outlook supports one mobile number, up to 2 home numbers, and up to 2 business numbers per contact. Extra numbers from other apps are not added.
  • Outlook supports one home, one work, and one other address per contact, so only one address of each type is synced.
  • Each sync flow works with one contact folder: the default contacts or a selected or named folder. To sync several folders, add one sync flow for each folder.
  • Outlook categories are not mapped automatically. You can map them easily with a custom rule, or use the built-in category filter.
  • Contact photo syncing is optional and needs to be turned on in the connection settings. It can make large initial syncs take longer.
  • Only individual contacts are synced. Outlook contact groups (distribution lists) are not included.
  • Outlook contacts don't support custom fields, so only standard Outlook contact fields are available for mapping.
