Contacts often end up scattered across Gmail, Outlook, phones, CRMs, and accounting tools. Keeping them consistent by hand leads to outdated phone numbers, missing details, and duplicates. Teams also struggle to share a common address book in Google Contacts without exporting and importing CSV files. SyncPenguin keeps Google Contacts automatically in sync with your other apps, so every change made in one place appears everywhere it's needed.

How does it work?

The Google Contacts connector lets you automatically sync contacts between your Google account and the other apps you use every day, such as Outlook, Microsoft 365, Apple iCloud, HubSpot, and many CRMs. Set up one-way or two-way syncs, choose exactly which contacts to sync using Google labels, and keep names, emails, phone numbers, addresses, companies, labels, and custom fields up to date everywhere. Google Workspace admins can also connect their whole organization and manage contact syncing for a group of users from one place.

Popular real-world use cases

  • Push your company's Microsoft 365 Global Address List into every employee's Google Contacts, so coworkers' details are always available on their phones.
  • Two-way sync Google Contacts with Outlook Contacts, so you can use both Gmail and Outlook with the same up-to-date address book.
  • Keep Google Contacts and Microsoft 365 Contacts in sync during or after a migration between Google Workspace and Microsoft 365.
  • Sync Google Contacts with Apple iCloud Contacts, so contacts stay identical across your Android and iPhone devices.
  • Share a team address book by syncing a label from one Google account into the Google Contacts of colleagues.
  • Sync HubSpot contacts into Google Contacts under a dedicated "HubSpot" label, so your sales team can call and email leads from their phones.
  • Automatically add Google Workspace directory users to employees' Google Contacts as a company-wide shared directory.
  • Send contacts with a "Newsletter" label in Google Contacts to your Mailchimp audience automatically.
  • Two-way sync Google Contacts with Pipedrive or Zoho CRM, so deals and contact details stay consistent between your CRM and Gmail.
  • Copy customers from QuickBooks or Xero into Google Contacts, so your team always has up-to-date customer phone numbers and emails.

Key features

Label-Based Syncing

Sync only the contacts in a specific Google label. Synced contacts can also be tagged with a label you choose, so they're easy to find.

Domain-Wide Access

Google Workspace admins can connect the whole organization once and set up contact syncing for all users in a selected Google group.

Custom Fields

Supported fields

First name Last name Middle name Display name (read-only) Full name Title (prefix) Suffix Notes Company Job title Department Websites Birthday Emails Phone numbers Addresses Labels Custom fields

Things to note

  • Contacts from Google's "Other contacts" section (people you've emailed but not saved) are not synced. Only saved contacts are included. You can save any of them to your contacts to include them in the sync.
  • The display name is generated automatically by Google from the contact's name parts. It can be read and used in mappings and rules, but not set directly.
  • Only the first company, job title, and department of a contact are synced. This covers the vast majority of contacts.
  • Email, phone, address, and website types are matched to common categories such as Home, Work, Mobile, and Other. Custom type names in Google are synced as "Other" or the closest matching category.
  • Contact photos and less common fields, such as relationships, nicknames, and events, are not currently synced.
  • Google doesn't allow empty custom field values, so empty custom fields are saved with a "*" placeholder.
  • Domain-wide syncing for Google Workspace is configured for members of a selected Google group. Add the users you want to sync to a group to include them.
  • To stay within Google's usage limits, very large address books may take a little longer to complete their first sync. Later syncs only process changes and run much faster.
