SyncPenguin's connector for Google calendar meetings

Sync your Google calendar meetings two-way or one-way with other apps and services

Free 14-day trial with full support and no credit card

Many people manage more than one calendar, such as a personal Google calendar, a work Microsoft 365 calendar, a client's calendar, or a team calendar. When these calendars aren't connected, you get double bookings, missed meetings, and a lot of time spent copying events by hand. Google Calendar has no built-in way to keep events in sync both ways with other calendar platforms. SyncPenguin fixes this by keeping your Google calendars automatically in sync with your other calendars. It avoids duplicates, keeps recurring meetings intact, and doesn't send unwanted invitations to guests.

How does it work?

The Google Calendar Meetings connector lets you sync events from any of your Google calendars with other calendars, such as Microsoft 365, Outlook, Exchange, Apple iCloud and Salesforce, or with other Google calendars. Sync can be one-way, two-way, one-to-many or many-to-one. SyncPenguin keeps subjects, times, locations, descriptions, attendees, colors and full recurring series up to date and picks up changes almost instantly. With no-code filters, field mapping and custom rules, you decide what gets synced and how, for example syncing only busy time, hiding private details, or copying only out-of-office events. Google Workspace admins can also connect their whole domain and set up syncing for groups of users from one place.

Popular real-world use cases

  • Keep a personal Google Calendar and a work Microsoft 365 calendar in two-way sync, so both always show your real availability and double bookings are avoided.
  • Block time in your work Microsoft 365 calendar for personal Google Calendar events as private "Busy" entries, hiding the subject, description and attendees.
  • Merge several Google calendars (for example from different clients or projects) into one master Google calendar, colored by source, so you see your whole schedule in one place.
  • As a Google Workspace admin, connect the whole domain and sync a group of employees' calendars with their Microsoft 365 calendars during a merger or migration.
  • Sync a Google Calendar with an Outlook.com calendar both ways, so you can use whichever app you prefer on each device.
  • Share a family schedule by syncing an Apple iCloud calendar with a Google Calendar, so both iPhone and Android users see the same events.
  • Keep Exchange On-Premises and Google Calendar in sync while moving to Google Workspace, so no meetings are lost during the transition.
  • Copy meetings logged in Salesforce into sales reps' Google Calendars, and send Google Calendar meetings back to Salesforce for accurate activity tracking.
  • Import events from an iCalendar (.ICS) feed, such as a booking platform or rental calendar, into Google Calendar and keep them updated automatically.
  • Use filters to copy only out-of-office events from team members' Google Calendars into a shared Microsoft 365 group calendar that works as a team vacation planner.

Key features

Near Real-Time Sync

SyncPenguin listens for Google Calendar change notifications, so new, updated and deleted events reach your other calendars within moments.

Recurring Events

Full recurring series are synced, including individually modified and cancelled occurrences, so repeating meetings stay accurate everywhere.

No Duplicates

Smart matching by calendar ID, subject and time finds events that already exist, so they are linked instead of copied again.

Silent Syncing

Events are created and updated without sending invitations or update emails to attendees, so your contacts are never spammed.

Domain-Wide Access

Google Workspace admins can connect the entire organization and configure calendar syncing for a group of users at once.

Things to note

  • To keep syncing fast and focused on what matters, SyncPenguin syncs current and upcoming events. One-time events that ended more than about 6 months ago, and recurring series that ended more than a year ago, are skipped.
  • If an event was organized by someone else or has other guests, SyncPenguin only updates its time and recurrence. This avoids changing meeting details that belong to other people.
  • Events are synced without sending invitations or update emails. To prevent unexpected invites, attendees are only copied when the original meeting identity can be kept.
  • Events you have declined are treated as removed and are not synced to the other side.
  • Regular, out-of-office, focus time and Gmail-generated events are supported. Working location and birthday events are not synced.
  • Organizer, Google Meet link, conference details, your response status and event type can be read and used in rules, but they can't be changed through syncing.
  • Only the "default reminder" setting is synced. Custom reminder times and file attachments are not transferred.
  • With domain-wide access, the users to sync are selected through a Google Workspace group.
