Companies that run Exchange on their own servers often find their tasks stuck in Outlook on the desktop. Those tasks are disconnected from cloud tools like Microsoft 365, Google Tasks or their CRM. Teams end up copying tasks by hand, missing follow-ups, or juggling separate to-do lists for each app. This connector keeps Exchange Server tasks in sync with your other task apps automatically. It also makes a gradual move to the cloud easier because the old and new systems stay aligned during the transition.

How does it work?

The Exchange On-Premises Tasks connector links the task lists on your own Exchange Server to the other apps your team uses. In SyncPenguin you can sync personal task folders, shared or delegate mailboxes, and public folder task lists, one-way or two-way. You can also sync one list to many or many lists to one. With no-code filters, field mapping and custom rules, you decide which tasks are synced and how each detail is carried over. New, updated and completed tasks then stay up to date everywhere automatically.

Popular real-world use cases

  • Keep Exchange On-Premises tasks and Microsoft 365 tasks in two-way sync during a gradual migration to the cloud, so nobody loses track of their to-dos.
  • Sync your work tasks from Exchange Server to Google Tasks so you can check them off on your phone, and have completed tasks update back in Outlook.
  • Mirror Exchange Server tasks into Outlook To Do so you can manage work tasks alongside your personal ones in a single app.
  • Distribute a shared public folder task list to each team member's personal Exchange task folder using a one-to-many sync. Changes made by the team flow back to the shared list.
  • Send HubSpot follow-up tasks to sales reps' Exchange task lists so they see CRM to-dos directly in Outlook. Use a filter to sync only high-importance tasks.
  • Sync Zoho CRM tasks with Exchange On-Premises tasks two-way so that a task completed in Outlook is also marked as done in the CRM.
  • Push tasks from a Notion project board to Exchange Server one-way. Use custom rules to map Notion statuses to Exchange statuses such as "In progress" or "Waiting on others".
  • Let an executive assistant manage a manager's tasks by syncing the manager's mailbox tasks into the assistant's task folder. A filter skips any tasks marked Private or Confidential.
  • Sync Monday.com tasks one-way to Exchange Server tasks so employees can see project assignments in Outlook without opening another tool.
  • Keep Capsule CRM tasks and Exchange On-Premises tasks in sync, and use categories to tag which tasks came from the CRM.

Things to note

  • Exchange tasks use due dates rather than due times, so due dates are synced as all-day dates. Time-of-day details from other apps are not carried over.
  • To keep syncing focused on relevant work, tasks with a due date are synced only if they fall between 30 days in the past and about a year ahead. Tasks without a due date are always synced.
  • During the initial merge of existing data, completed tasks without a due date are skipped so that old, finished tasks do not clutter the target app.
  • Tasks without a subject are skipped.
  • Only the reminder on/off setting is synced. The exact reminder time is not.
  • Owner, delegator and assigned date are available for filters and rules but cannot be changed through syncing.
  • Custom task fields and attachments are not synced.
  • Your Exchange Server must have Exchange Web Services (EWS) enabled and be reachable from the internet so SyncPenguin can connect to it.

About Exchange On-Premises

Microsoft Exchange Server is Microsoft's self-hosted email, calendar, contacts and task server, used by organizations that prefer to keep their data on their own infrastructure. Its task features power the Tasks view in Outlook and include due and start dates, statuses, priorities, categories, reminders and shared public folder task lists, which makes it a common tool for personal and team task management in businesses.
